RE:          Membership Update & Financial Information Zoom Call

Dear Member

I hope this correspondence finds you and yours safe and well.

Further to the numerous meetings held with members and the undersigned with regard to the signing of their Redundancy agreements a number of concerns have been raised with Mandate with regard to the provision of final figures and more importantly financial advice with regard to same.

At your unions request the Company have arranged for a General Financial Information Meeting to take place via Zoom tomorrow morning at 9:30am. The meeting will be attended by a representative from INVESCO who will give a general overview presentation with regard to financial advice around redundancy. He will also be available after the meeting to answer individual queries from members. It is imperative that you make every effort to join this meeting as it may be very beneficial financially to you. Below are the details for the Zoom meeting.

Mandate Trade Union is inviting you to a scheduled Zoom meeting.

Furthermore Mandate have received a response from Ms. Sian Young with regard to our query for the Redundancy Payments to be made on the date of departure from the Company. This response, which is self-explanatory, can be found below at Appendix 1.

I have also received queries from members with regard to the downloading of personal files from their Company Laptops/Tablets in advance of returning same to the Company. My email to the Company is outlined at Appendix 2.

Finally in my email outlined at Appendix 2 I have also requested confirmation from the Company that members will receive their final figures in advance of the payroll deadline so that they can instruct payroll in advance of the deadline how they would like their money invested.

I look forward to seeing you all on the Zoom call tomorrow morning and I do apologise for the short notice of the meeting but as stated it was arranged at very short notice this evening.

Kind regards

Subject: RE: Redundancy Payments

Hi Keith,

I have been speaking to the payroll team and I’m afraid it’s not possible to accelerate the redundancy payment from the communicated timeline due to the timelines and complexity of the process involved in processing this for all departing employees.

On the 21st of the month all departing employees will receive their pay for April plus any PILON due and their holiday balance (including carry over from previous years and holiday accrued this year).  Given that most employees are carrying significant holiday balances that payment will be a significant one for many.

The redundancy payments will be processed in the first pay run following departure.  Running an exceptional payment run would involve a significant amount of added work and cost.  As April is already one of our busiest months for the team due to the way the reward calendar works for GB we simply do not have the resource available to do this.

Kind Regards

Sian

Subject: Members Queries

Dear Sian

I hope you are keeping well.

During the course of my meetings with members with regard to the Redundancy Agreement and signing of same an issue has been raised with me by a number of members with regard to personal data which they have saved on their Company Laptops/Tablets such as personal photographs etc. Those members concerned cannot download this data to their own personal USB key etc. due to the restrictions in place with downloading data from those devices.

It would be greatly appreciated if you could liaise with the IT Department with a view to establishing a solution to this issue.

Can you also confirm that members will receive their personal financial statements such as final Annual leave payments, redundancy calculations etc. in advance of the payroll deadline so that they can advise payroll of their intentions with regard to investments.

Kind regards
